Thank you for choosing Sunset Beach Villa, proudly managed by Exclusive Waterfront Villas.

Our aim is to provide every guest with a relaxed, luxurious and memorable beachfront experience. The following Terms & Conditions, Privacy Policy and Accessibility Statement explain the conditions of your stay, how we protect your personal information and our commitment to making both our property and website as accessible as possible.

By confirming a reservation or occupying the property, you acknowledge that you have read and accepted this document.

1. Bookings

These Terms apply to all reservations made through:

• Sunset Beach Villa's official website

• Booking.com

• Airbnb

• Lekkeslaap

• Travel agents

• Third-party booking platforms

• Direct bookings with the owner

• ​

The person making the reservation confirms that they are at least 18 years of age and are authorised to make the booking on behalf of all guests included in the reservation.

2. Guest Registration

To help us prepare for your stay and provide a secure check-in process, the lead guest is required to complete our secure Pre-Arrival Registration Form before arrival.

The registration process may include:

• Lead guest details

• Government-issued photo identification

• Names of all guests

• Acceptance of the House Rules

• ​

Check-in instructions and access information are issued once the required registration has been received and reviewed.

3. Payments

Unless otherwise agreed in writing:

• A 50% deposit is required to confirm a booking.

• The remaining balance is payable 30 days prior to arrival.

• Outstanding balances may result in cancellation of the reservation.

• ​

Where applicable, a refundable damages deposit may also be required before arrival. This will be refunded after departure, less any deductions for damage, loss or additional cleaning.

 

4. Cancellation Policy

Deposits are non-refundable unless otherwise agreed.

At the owner's discretion, a cancelled booking may be transferred to alternative dates, subject to availability.

Any balance paid within 30 days of arrival is generally non-refundable unless otherwise agreed in writing.

5. Occupancy

Only the guests included in the reservation may stay at the property.

Visitors are permitted only with prior approval.

The maximum occupancy of the villa must never be exceeded.

6. House Rules

We kindly ask all guests to respect both the property and our neighbours.

Guests agree to:

• treat the home and its contents with reasonable care;

• supervise children at all times;

• keep noise to an appropriate level;

• respect neighbouring properties;

• comply with all safety instructions provided within the villa.

Parties, events and functions are not permitted unless specifically approved in writing.

Quiet hours apply between 22:00 and 08:00.

Failure to comply may result in immediate termination of the stay without refund.

7. Damage

Guests are responsible for any damage caused during their stay, whether accidental or deliberate.

Please report any breakages or maintenance issues as soon as possible so they can be addressed quickly.

Where repair or replacement is necessary, reasonable costs may be deducted from the damages deposit or charged to the lead guest.

8. Safety

While every effort is made to maintain a safe environment, guests acknowledge that the property contains features requiring reasonable care, including:

• swimming pool

• hot tub

• stairs

• balconies

• fireplaces

• braai facilities

• outdoor pathways

• beach access

• natural coastal vegetation

• ​

Parents and guardians remain responsible for supervising children at all times.

​

Guests use the property and its facilities entirely at their own risk.

​

To the fullest extent permitted by South African law, the owners, management and staff accept no liability for injury, accident, illness, loss or damage arising from use of the property.

9. Security

The property is fitted with external security cameras covering entrance and outdoor areas only.

Guests are responsible for securing doors, windows, gates, remotes and keys throughout their stay.

The owners are not responsible for loss or theft of personal belongings.

Private security can be arranged on request at additional cost.

10. Pets

Where pets are permitted by prior agreement, owners remain fully responsible for:

• supervision;

• any damage caused;

• the safety of their pets;

• ensuring pets do not disturb neighbours or local wildlife.

The property is not fully enclosed and pets should never be left unattended outdoors.

​

11. Natural Environment

Sunset Beach Villa is located alongside a protected coastal dune system.

Guests should expect natural environmental conditions including wind, sand and occasional wildlife such as birds, insects and small reptiles.

These are normal features of the coastal environment and do not constitute defects or grounds for cancellation or refund.

Guests are encouraged to keep doors closed when appropriate and avoid leaving food outside.

12. Limitation of Liability

To the fullest extent permitted by law, the owners, management, employees and representatives shall not be liable for any direct or indirect loss, injury, damage, delay or expense arising from:

• use of the property;

• guest or owner negligence;

• acts of third parties;

• weather conditions;

• power interruptions;

• internet interruptions;

• municipal service failures;

• natural events beyond our reasonable control.

Nothing in these Terms limits any rights that cannot legally be excluded under South African law.

​

13. Privacy Policy

We respect your privacy and collect only the information necessary to manage reservations, communicate with guests and comply with applicable legal obligations.

Information we may collect includes:

• name

• address

• email

• telephone number

• booking details

• guest registration information

• government-issued identification where required

• payment information supplied through secure booking platforms

We use this information solely to:

• manage your reservation;

• communicate before, during and after your stay;

• comply with legal and regulatory obligations;

Information is stored securely and retained only for as long as reasonably necessary or required by law.
